Admissions and Enrollment Management Systems Specialist - Graduate College
The Graduate College is now accepting applications for two Admissions and Enrollment Management Systems Specialists. We seek individuals with a robust background in admissions or student records at a university, complemented by hands-on experience with customer relationship management (CRM) systems, particularly Slate. Ideal candidates will not only possess a strong foundation in the principles and practices of admissions but also demonstrate technical proficiency in managing and optimizing system functionalities. This role is designed for admissions professionals who understand the nuances of the student journey and can effectively leverage technology to enhance admissions and enrollment processes.
In this position, you will provide essential user support for our campus community and collaborate with a dedicated team to customize, manage, and maximize the capabilities of the Graduate College admissions and enrollment management system (Slate), as well as the campus student information system (Banner). The Slate system plays a crucial role in supporting graduate recruitment, admissions, and the management of current student enrollment and academic records.
Duties & Responsibilities:
- Provide technical support to faculty, staff, and student users. This includes setting up new users and providing training, reviewing user access annually, responding to requests from departments to make system updates, creating customized queries and data reports, and developing how-to guides and videos for users.
- Create and maintain customized application and enrollment management review workflows within the Reader module of Slate. This will include using a variety of Slate tools to support the review structure and advising programs on review structure options.
- Create and maintain application rounds, fields, prompts, rules, configurations and student populations, and PDF files within the system to support both centralized and program review processes. Make application and current student data updates to ensure system efficiency.
- Create and maintain faculty, staff, and student online portals. This includes content development and design, report building, and using rules, queries, and other Slate tools.
- Routinely create queries using configurable joins to support centralized admissions processing and enrollment management, as well as create individual queries, exports, and reports for graduate programs.
- Create and maintain automated emails and communication campaigns within the Deliver module of Slate for Graduate College and program-level communications.
- Serve on the Multiple Records Resolution Team (MRRT) for the Graduate College, collaborating across campuses to address multiple records issues. Responsibilities include reviewing daily reports, responding to MRRT tickets, resolving application suspense records, and identifying duplicate records in Banner and Slate. This involves assessing data from various campus systems for potential merges or separations and handling sensitive person and application data. Additionally, assist in monitoring the daily application interface between Banner and Slate and coordinating updates with AITS.
- Enforce Graduate College and University policy related to admissions, registration, and academic records. Enforce University policies regarding application, student, and reference letter confidentiality due to federal FERPA policies.
- Maintain daily workload reports; complete miscellaneous projects related to admissions and enrollment services assigned by the supervisor and Assistant Dean. Other duties as assigned.
Minimum Qualifications:
- High school diploma or equivalent.
- Two (2) years of work experience in IT-related functions such as hardware/software support, programming, network design, network engineering, IT systems integration, or closely related field.
- College coursework which includes Information Technology (IT), IT Management, Programming, IT systems, or a closely related discipline may be substituted as follows:
- 30 semester hours equals one (1) year,
- Associate's degree (60 semester hours) equals eighteen (18) months,
- 90 semester hours equals two (2) years,
- Bachelor's degree (120 semester hours) equals three (3) years).
Preferred Qualifications:
- Experience evaluating and interpreting policy
- Experience working with Slate or a similar CRM system.
- Experience working with SQL queries and web design.
- Experience working in a fast-paced, team-oriented environment.
- Bachelor degree.
Knowledge, Skills and Abilities:
- Working knowledge of FERPA regulations, academic records, and electronic records systems.
- Strong organization, analytical, and accuracy skills.
Appointment Information: We currently have two vacancies and these are a 100% full-time Civil Service 5031 - Information Technology Technical Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The budgeted salary range for this position is $50,000.00 - $55,000.00. Salary is commensurate with qualifications and experience, while also considering internal equity.
