Job Summary

This position is responsible for the integrity of the IU Conferences general ledger and advanced accounting and cash flow activities for Indiana University Conferences, which provides conference services for all university campuses totaling in excess of $11M in revenue, $6M in expenses and over 1,500 conferences and events annually.

Department-Specific Responsibilities

  • Works with departmental staff for accounting and comparison of cash flows and expenses and proper billing procedures; prepares departmental financial reports.
  • Manages the business aspects of the auxiliary unit by proposing and obtaining university approval for annual rates, conducting ongoing comparisons of rates vs. revenue, and auxiliary accounting reporting.
  • Evaluates current financial reporting systems, accounting and collection procedures, operating systems, and budgets and make recommendations for changes to procedures, operating systems, budgets and other financial control functions as necessary.
  • Summarizes and forecasts on the state of the IUC financial affairs on a quarterly basis.
  • Prepares quotes, budgets, and budget justifications for new and ongoing funding applications.
  • Performs journal entries consistent with generally accepted accounting principles (GAAP).
  • Prepares balance sheet reconciliation, monitor's accruals, and analyzes information by creating complex reports.
  • Responds to and resolves discrepancies and problems.
  • Leads and directs members of Indiana University Conferences staff who are engaged in the areas of finance, accounts receivable and payables, procurement, and travel management.
  • Leads in the development of and support of strategic financial planning, reporting, and overall management of fiscal operations.
  • Manages the organization's financial function with cognizance of the broader mission, objectives and financial environment of the university as a whole.
  • Acts in a financial stewardship capacity, managing financial risks and preserving assets.
  • Develops, analyzes, and interprets financial data and accounting information to evaluate operating results in terms of performance against organization financial objectives and budget, and other matters bearing on the fiscal soundness and operating effectiveness of the organization.
  • Manages the areas of financial planning, budget management, financial reporting and analysis, and core accounting functions.
  • Maintains clear and transparent communication channels with others in the executive management team.
  • Assists the Executive Director in establishing budget priorities and designing strategies to meet those priorities; plays a key role in departmental and divisional strategic planning initiatives.
  • Assists with implementation of program initiatives, environmental scanning processes, and personnel management.
General Responsibilities
  • Directs the daily and long-term financial and/or administrative operations of multiple institution organizational units or a multi-faceted academic research and teaching unit within a school or college.
  • Responsible for accuracy, timelines, and the general integrity of the Financial Administration family.
  • Controls all expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.
  • Manages complex revenues including internal and external sources.
  • Directs the management of general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.
  • Prepares operating and project budget drafts. Creates annual revenue and expenditure budget for school or support unit.
  • Monitors functional area budgets and reports any significant deviations from approved budgets. Develops budgetary policies and procedures.
  • Supervises business support personnel.
  • Develops, plans, and directs special projects, which may include space renovations, space allocations, staffing, equipment purchases, long-range plans, leasing of off-campus space and services.
  • May oversee and direct variety of human resources activities including employment, labor relations, benefits, training, and classification for functional area.

  • Bachelor's degree in finance, business, or related field
Preferred
  • Master's degree

  • Ability to understand and interpret financial policies, regulations, and pertinent state/federal laws
  • Advanced knowledge of financial statements and different budgetary models; ability to apply in different situations
  • Knowledge of human resources laws and procedures as related to managing staff; Knowledge and understanding of the importance of mentors and mentorships
  • Demonstrated ability to create workable solutions from broad concepts and ideas, projections, forecasting, and long-term planning

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
