The Sr. Database Analyst in the School of Nursing and Health Studies' (SONHS) Office of Student Services (OSS) reports to the Executive Director of Student/Post-Graduate Support Services and oversees all SONHS data collection, analysis, and reporting efforts as related to admission processes, student services functions, and course and curriculum issues. The Sr. Database Analyst works closely with SONHS and University personnel to ensure SONHS systems are properly integrated with larger University systems so SONHS personnel can easily obtain solutions to any data-related issues. Duties include holding regular group and one-on-one training sessions on data systems, coordinating the clinical clearance process, developing, implementing, and continuously refining a systematic data collection plan, running weekly admission numbers, completing attestation forms, and providing feedback on course schedules. Sr. Database Analyst also serves as primary decision maker for the OSS office in the absence of the Assistant Dean. The ideal applicant will be proficient in Microsoft Office systems and be able to learn, implement, and fully-utilize new database and data analysis software. He/she must possess excellent analytical, communication, organizational, and interpersonal skills. It is also important the Sr. Database Analyst be able to be self-directed as well as collaborative to work effectively as a member of the OSS team. At least three years of related work experience and a bachelor's degree in computer information systems, computer science, higher education, research and evaluation, or a related field is required.

Compensation Grade: A10

Data Collection, Analysis, and Reporting 40%

  • Oversee all SONHS data collection, analysis, and reporting efforts as related to admission processes, student services functions, and course and curriculum issues
  • Work closely with the Executive Director of Student/Post-Graduate Support Services, Recruiter, Business System Analyst, and other key SONHS personnel to maintain current, thorough, and accurate data for easy access and reporting
  • Develop, implement, and continuously refine a plan to collect data in a structured and systematic way, using the same techniques during the same timeframes to allow for accurate comparisons between terms
  • Coordinate the compilation of data for yearly surveys by engaging various SONHS personnel to ensure reports are completed by the deadlines set by the Executive Director and allow for timely and thorough review and revision
  • Run weekly admission numbers to compare the current term to the previous year
  • Use OSS databases and CaneLink, Data Warehouse, and other University systems to retrieve student data and construct various reports that support the overall functions of SONHS and OSS
Data Systems and Training 25%
  • Develop and maintain relationships with various University personnel to ensure SONHS systems are properly integrated with larger University systems and SONHS personnel can easily obtain solutions to any data-related issues
  • Hold regular group and one-on-one training sessions with SONHS personnel to empower them to use SONHS and University systems effectively to streamline workflow and assist in the completion of job duties
  • Serve as a sounding board for SONHS personnel to brainstorm solutions to issues with SONHS and University systems
  • Create and maintain databases related to admission information, student enrollment, and other OSS functions
  • Convert current databases into new software systems as needed to improve functionality
  • Remain up-to-date on updates to Microsoft Access, NursingCAS, CaneLink, OnBase Salesforce, Data Warehouse, and SQL, and learn new software as needed
Clinical Clearance and Attestations 15%
  • Coordinate the clinical clearance process to ensure all nursing students are in compliance with SONHS requirements by maintaining open communication with students, American Databank, and the Student Health Center and by working closely with the Executive Director and the Recruiter to collect all necessary clearance information, update student records, and follow up with students who are non-compliant
  • Serve as a back up to receive and input background, drug screen, certification, licensure, and immunization information into the OSS database
  • Make certain that any flags on students' background checks and/or drug screens get communicated immediately to the Executive Director for timely review by the Dean and General Counsel
  • Complete all attestation forms for students enrolled in clinical nursing courses
  • Communicate with the appropriate SONHS administrator as needed to ensure faculty are compliant with their immunizations (especially influenza) to provide such information on attestation forms
  • Generate lists of students' clinical compliance statuses for OSS team members to assist with the registration process
  • Supervise graduate and undergraduate coordinators in placing students in clinical
Course and Curriculum 10%
  • Review proposed course schedules prior to their release to make sure information is accurate and in line with best course scheduling practices for all SONHS programs
  • Provide feedback on course schedules to the appropriate SONHS personnel and work with them to make changes as needed
  • Serve as the primary liaison with ERP and the Registrar to maintain accurate course information in CaneLink (e.g., course numbers, credits, and prerequisites)
  • Train SONHS personnel to take the lead on entering and posting all SONHS courses into CaneLink
  • Act as a back up to the course schedulers to enter and post courses as needed
Student Services Support 10%
  • Serve as primary decision maker for the OSS office in the absence of the Assistant Dean
  • Develops detailed action plan with goals and target dates and obtains necessary approvals
  • Conducts research for best practice models and benchmarking
  • Designs improved Clinical assignments systems by revising work policies, and procedures
  • Work collaboratively as a member of the OSS team to maintain the smooth functioning of the OSS office
  • Attend bi-weekly OSS General Staff Meetings and bi-weekly Admission and Recruitment Team Meetings
  • Stay abreast of SONHS and University opportunities, policies, and procedures to provide students with accurate information and refer to others as appropriate
  • Assist with open house, orientation, graduation, and homecoming events
  • Maintain the upmost confidentiality in all practices
  • Help with preparation of admission-related items including admission letters and Certificates of Admission as needed, and help monitor the compliance with admission contingencies listed on Certificates of Admission to ensure their compliance prior to the first day of classes for the first semester
  • Other Duties as assigned

Knowledge Skills and Abilities:
  • Knowledge of Microsoft Office, including Access, Excel, PowerPoint, and Word
  • Excellent analytical, communication, organizational, and interpersonal skills
  • Outstanding multi-tasking and problem-solving skills to ensure multiple and complex projects are accomplished successfully and on time in a fast-paced environment
  • Ability to learn, implement, and fully-utilize new database and data analysis software
  • Ability to engage and assist a diverse student body and to work closely with faculty, administration, and outside agencies with minimal supervision
  • Ability to be self-directed as well as collaborative to work effectively as a member of a team

Requirements:

Experience: 3 Years

Minimum Qualifications: Bachelor's degree required. Educational background in computer information systems, computer science, higher education, research and evaluation, or a related field desired. Approximately three years of experience in higher education preferred, particularly in academic administration, computer systems operations, database construction, and data analysis and program evaluation. Any appropriate combination of education and related work experience, including experience as a student employee, will be considered.
