Volunteers of America National Services is seeking a Performance Systems and Project Coordinator to join our team.

About the Job:

The Performance Systems and Project Coordinator plays a key role in driving the efficiency and effectiveness of organizational initiatives. This position supports the development and maintenance of systems that promote quality, compliance, and performance across the VOANS Healthcare Division. By facilitating the smooth execution of projects and initiatives, the coordinator ensures alignment with strategic objectives while fostering collaboration and communication. In addition, this role provides essential support to the Performance Excellence Team through the creation of detailed data reports, management of policy documents and the coordination of project activities. The coordinator is instrumental in organizing meetings, tracking progress, and ensuring that project deliverables are met on time, contributing to the overall success of the team's efforts in driving continuous improvement.

Essentials:
  • Coordinate Project Activities: Organize, schedule, and monitor multiple projects, ensuring all objectives and deadlines are met. Act as a liaison between departments/programs, facilitating communication, collaboration, and alignment with project goals. Regularly track project process, resolve issues, and adjust plans as necessary to ensure success.
  • Support for VOANS Performance Excellence Team: Assist in drafting, formatting and processing policies, procedures and other documents. Produce professional and polished data reports, summaries, and presentations from various sources, ensuring accuracy and clarity. Facilitate document management workflows and maintain organized records/resources.
  • Collect, Compile, and Manage Data Systems: Collect data from multiple sources, compile it into databases or report templates, and generate routine and ad hoc reports for distribution to stakeholders. Manage data collection systems to ensure accuracy and efficiency, providing technical support and troubleshooting issues related to data collection, reporting and system functionality. Ensure all data is maintained in an organized and accessible manner for timely decision-making and compliance.
  • Facilitate Standardization and Process Improvement: Support developing and implementing streamlined processes and workflows across departments/programs. Assist in documenting and communicating these workflows in user-friendly formats and providing training to staff as needed.
  • Provide General Support for Organizational Performance Excellence: Offer flexible and adaptable support as needed to advance the objectives of organizational performance excellence. This may include assisting with ad hoc projects, responding to emerging needs, coordinating activities across departments/programs, and providing administrative or technical assistance in areas outside the routine scope of responsibilities. Ensure all efforts contribute to the overall effectiveness and success of team initiatives.
  • Actively participate as an engaged member of the Performance Excellence team. In coordination with the team, supports the achievement of organizational objectives. Works in close collaboration with the VP of Compliance and Performance Excellence and Quality Directors to establish standardization where appropriate.
  • Establish and maintain productive working relationships.
  • Oversight, support, and performance management of team members to ensure they effectively achieve work objectives and maintain high standards of quality and productivity.
  • Maintain the stability and reputation of Volunteers of America National Services by ensuring all activities and operations are performed in compliance with local, State, and Federal laws, regulations and contractual requirements and adheres to organizational policies.
  • Is responsible for adherence to program cultural standards including supporting through modeling, coaching, and accountability.
  • Protect privacy and maintain confidentiality of all company procedures, results, and information about employees, residents and families.
  • Participate in continuing education classes and any required staff and training meetings. Maintains professional affiliations and any required certifications.
    Act within the scope of his or her authority to practice.
  • Follow all Volunteers of America National Services policies and procedures and Occupational Safety and Health Administration (OSHA) safety guidelines.
  • Perform other duties as required or requested.
Required Qualifications:
  • Bachelor's degree in Healthcare Administration, Healthcare Management, or related discipline. Candidates with a significant amount of relevant experience or demonstrated expertise may be considered in lieu of a formal degree.
  • Minimum of five (5) years' experience in administrative support and project management/coordination or related activities within a healthcare or similar setting. Data management/reporting experience is required. Direct experience with healthcare quality/compliance strongly preferred.
  • Microsoft Excel - Advanced skill in managing and visualizing data using Pivot Tables, graphs, and formulas to create actionable reports.
    Smartsheet (or similar) - Experience in administering Smartsheet systems for tracking, organizing, and reporting on multiple projects and tasks and process automation.
  • Document Management and Reporting - Ability to create, format, and polish professional reports and documents in Microsoft Word, including the integration of data visualizations.
  • Data Management - Strong skill in organizing, managing, and maintaining data systems to ensure accuracy, consistency, and accessibility for decision-making and reporting purposes.
  • Communication and Collaboration Tools - Familiarity with virtual meeting platforms and collaborative tools to facilitate communication, document sharing, and project coordination.
  • Project Management and Process Improvement- Strong organizational skills.
  • Analytical Thinking- Analytical and problem-solving skills.
  • Communication- Strong written and verbal communication skills.
