Posted Job TitleProduction & Facilities ManagerJob Profile TitleAssociate Director C, Arts and Media, Performing ArtsJob Description SummaryThe Production & Facilities Manager: IGT is responsible for the successful management, coordination, and supervision of all events at the Iron Gate Theatre.

This position is part of the Penn Live Arts Production Department and a key member of the PLA operations team, collaborating closely with internal PLA departments such as Events & Guest Services and the Box Office, in addition to university collaborators Platt Student Performing Arts House and the PAC Shop.

This role's responsibilities include, but are not limited to: managing the facility, ensuring all events and activities are appropriately staffed & supervised, providing some of the supervision themselves; coordinating facility schedule and access for clients/stakeholders and ensuring safety regulations; production managing events in the space, working with users of the facility to understand, coordinate, and enact all technical needs for rehearsals and performances; ensure upkeep of the facility by coordinating housekeeping schedule and placing work order requests for routine maintenance; providing data management in PLA's event management platform (currently Artifax), ensuring space, resource, and staff booking are correct and working with the PLA Finance Office to initiate billing; maintaining A/V and theatrical technology in the facility per PLA operations procedures; providing A/V and theatre technology support to users of the facility.Job Description

Job Responsibilities

  • Venue Management - ensure all activities are appropriately staffed & supervised by the appropriate department. Coordinate facility schedule and access with clients/stakeholders. Ensure adherence to University and PLA safety guidelines. Provide an active supervisory presence.
  • Production Management - work with users of the facility to understand, coordinate, and enact all technical needs for rehearsals and performances. Project and communicate budget and cost impact of production needs. Develop production schedules in collaboration with users of the space.
  • Facility Management - ensure the upkeep of the facility. Coordinate housekeeping schedule with the cleaning contractor. Place routine maintenance work orders with the commercial property management company and ensure timely and accurate completion of work. Work with Director of Venues & Capital Projects on work and repair requests that fall outside of routine maintenance.
  • Data Management & Invoicing - build all events in PLA event management platform (currently Artifax), assign appropriate resources and price codes, ensuring accuracy of charges. Work with PLA Finance Office to initiate billing procedures for space usage.
  • Administrative - use Penn and PLA specific administrative platforms for their respective uses such as calendar management, expense tracking, labor requests, purchasing requests, and other administrative functions.
  • A/V & Theater Technology - maintain house equipment and rep sound and lighting plots. Collaborate with PLA Production Team on changes, inventory concerns, and other needs.
  • Stakeholder engagement - work closely with student and University stakeholders. Host training sessions in collaboration with Platt Student Performing Arts House and the PAC Shop.

Qualifications

  • Bachelor in Technical Theater and 3 to 5 years of experience or equivalent combination of education and experience is required.
