The Project Manager - CCBHC Implementation, will lead and coordinate the efforts to successfully launch the agency's newest Certified Community Behavioral Health Clinic (CCBHC). This role will be critical in ensuring the clinic meets all program requirements, maintains compliance with state and federal regulations, and launches on time. The Project Manager will collaborate with cross-functional teams, manage timelines and documentation, design and refine workflows, oversee reporting and data collection processes, and develop communication plans.

The Project Manager - CCBHC Implementation, will be part of the organization's Project Management Office (PMO) reporting to the Sr. Director of PMO. The PMO drives alignment across departments, ensures projects are completed on time and within scope, and fosters a culture of accountability and transparency. For the launch of our new Certified Community Behavioral Health Clinic, the PMO will provide structured oversight, resource management, and communication support to ensure the clinic's timely and compliant launch. This position will work closely with leadership and key stakeholders to ensure the project aligns with organizational goals and meets all regulatory and quality standards.

KEY RESPONSIBILITIES:

Project Planning & Execution:

  • Develop and execute a comprehensive project plan for the CCBHC launch, including detailed timelines, milestones, and deliverables.
  • Identify all subtasks, assign responsibilities, and set deadlines to ensure efficient project execution.
  • Track progress against the plan, ensuring that all aspects of the CCBHC implementation remain on schedule.

Grant Requirement Translation:

  • Facilitate the translation of CCBHC implementation requirements into clear, actionable organizational processes, procedures, and workflows.
  • Ensure a comprehensive understanding of all technical requirements necessary to meet CCBHC certification standards, including compliance with clinical, administrative, and reporting guidelines.
  • Collaborate with clinical, administrative, finance, IT, and quality teams to ensure the grant's requirements are seamlessly integrated into daily operations.

Meeting Facilitation & Coordination:

  • Lead weekly implementation meetings to track progress, address challenges, and maintain momentum.
  • Serve as the point person for project-related updates and communication across departments, regularly reporting progress to senior leadership.
  • Facilitate coordination among cross-functional teams, ensuring alignment on tasks, goals, and timelines.

Stakeholder Communication & Alignment:

  • Serve as a liaison between organizational leadership, external partners, and stakeholders to ensure transparent communication and collaboration.
  • Facilitate presentations and meetings with internal and external stakeholders to share progress, gather feedback, and ensure alignment with CCBHC project objectives.

Process Development & Compliance:

  • Support the development of workflows, policies, and procedures that meet CCBHC standards and align with organizational goals.
  • Establish reporting mechanisms for required outcome measures and key performance indicators (KPIs) related to the CCBHC program, ensuring regulatory compliance.

Risk Management & Problem Solving:

  • Proactively identify risks that could impact the project timeline or outcomes, and develop mitigation strategies.
  • Troubleshoot operational challenges and collaborate with teams to find practical solutions, ensuring smooth implementation.

Documentation & Reporting:

  • Maintain comprehensive project documentation, ensuring all activities are properly tracked and archived.
  • Establish reporting systems to monitor key metrics and regularly update senior leadership on the project's status and any emerging risks or opportunities.

QUALIFICATIONS

Education & Experience:

  • Bachelor's degree required; Master's degree in Public Health, Healthcare Administration, or a related field preferred.
  • 3-5 years of project management experience in healthcare, behavioral health, social service non-profits, or related field, with demonstrated success in leading complex projects.
  • Previous experience with grant implementation or CCBHC initiatives is a strong plus.
  • Knowledge of CCBHC model and associated regulatory requirements is a plus.

Skills:

  • Ability to drive change & translate complex grant requirements into practical operational solutions.
  • Strong understanding of healthcare operations, compliance, and quality improvement practices.
  • Excellent communication, organizational, leadership and facilitation skills, with the ability to manage multiple stakeholders and competing priorities in a fast-paced environment.
  • Proven ability to manage unorganized, dynamic teams and bring order to the process.
  • Experience in creating governance structures and facilitating collaboration across departments.
  • Proficiency in project management tools and software.
  • Ability to work independently and as part of a cross-functional team.
  • Comfortable with ambiguity and capable of bringing structure to evolving projects

VISUAL AND MANUAL DEXTERITY:
  • Regularly required to physically operate routine office equipment such as telephones, computers, etc.
  • Regularly required to utilize near vision ability to read data and documents, including spreadsheets and reports, in printed form and on computer screens

WORK ENVIRONMENT / PHYSICAL EFFORT:

• Noise level is consistent with levels usually present in an office, education, rehabilitation, industrial, workshop or health related environment
