Purpose of Job:

The Sr. Event Planner will play an integral role in the success of the events and sponsorship team. This role will assist in the planning and execution of meetings, events, promotions, and sponsorships that drive business and achieves the objectives of the company. The Sr. Event Planner responsibilities will be to assist in managing large program logistics, registration, fully manage smaller programs and support the sponsorship team with ticketing and hospitality logistics.. Assist Travel & Events Manager & Sponsorship Manager on programs as needed.

Job Components:

  • Research related to selecting meeting and event venues, arranging food and beverage, ordering supplies, securing equipment and signage, and ensure appropriate décor to meet quality and Brand expectations.
  • Propose new ideas to improve the event planning and implementation process.
  • Serve as liaison with vendor partners on event-related matters.
  • Work with communications team to coordinate that event messaging is released to effectively promote events as needed.
  • Assist with managing on-site production and decorators.
  • Catering coordination
  • Assist in creating registration websites in Cvent including design and content.
  • Assist in managing registration and housing.
  • Prepare nametags, creative materials, coordinate shipping of program supplies.
  • Event cost savings tracking
  • Assist sponsorships team with race ticketing, hospitality logistics pre-planning and on-site when needed.
  • Close out all events as required including post event surveys, data analysis and distribution to stakeholders.
  • Some travel will be required.

Event Administration
  • Prepare budgets and provide periodic progress reports to Event Managers and Sponsorship Manager for each event project, as well as assisting Events & Travel Manager with monthly budget reporting, as well as other special projects.
  • Keep track of event finances including program expenses, invoicing, and reporting.
  • Coordinate appointments and scheduling of events on the calendar.
  • Act as the point of contact for smaller events as needed.
  • Help to document activities prior to and during the events for internal and external communications.

Qualifications:
  • 8 to 10 years corporate event planning experience.
  • BA/BS degree required or equivalent experience in Hospitality Management or Event Planning
  • Excellent organizational skills and experience with project management
  • Ability to manage multiple simultaneous projects and work assignments from a variety of staff.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service and high expectations for quality.
  • Proficient using the Web to conduct research, event administration, registration, and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint, Teams.
  • Experience with Web communications, publishing, usability and/or social media is a plus.
  • Excellent communication skills, including writing, proofreading skills, and speaking.
  • Experience working with Cvent is a plus.

Scope Data:

  • Create and revise room layouts.
  • Propose new ideas to improve the event planning and implementation process.
  • Serve as liaison with vendors on event-related matters.
  • Assist with managing on-site production and clean up for events as necessary.
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lies, seating cards, etc.
  • Close out all events as required.
  • Prepare and manage event budgets and provide periodic progress reports to Travel and Events manager and Sponsorship manager for each event project assigned, as well as assisting sr. events and sponsorships manager with monthly budget reporting, as well as other special projects.
  • Keep track of event finances including check requests, invoicing, and reporting.
  • Coordinate appointments and scheduling of events on the calendar.
  • Help to document activities prior to and during the events for internal and external communications.

Work Environment:
  • Ability to sustain posture in a seated position for prolonged periods of time.
  • Regularly required to use hands to grasp or handle, talk and hear, stand and walk.
  • Specific vision abilities include close vision, depth perception and ability to adjust focus.
  • Ability to occasionally lift and/or move 20+ lbs.
  • Office environment
  • Prolonged use of personal computer & telephone.
