Job Summary
Independently perform highly specialized management duties for the Senior Director for Academic Programs and Partnerships (AVPAPP), particularly as pertains to the planning and administration of the University-wide Scholarships Program. Coordinate, with discrete responsibilities, the University System-led recruitment events such as the Salute to Academic Achievement, an outreach event to underrepresented prospective students; the Salute to Illinois Scholars event; and Shin Humanitarian Award. This position requires the employee to be involved, knowledgeable, and proficient in every significant organizational and technical activity of the office, functioning independently and as part of a team, with the ability to troubleshoot, innovate, delegate, and make day-to-day departmental decisions. Supervise UAPS office support staff member, student worker, and extra help as needed.
Duties & Responsibilities
- Manage annual budgets and application, selection, and notification process for multiple university-wide and corporate scholarships utilizing the UI Foundation (UIF) fund report.
- Co-Facilitate the planning, logistical arrangements, and coordination of System Office-led events such as: the annual Salute to Academic Achievement (SAA) events for 450+ high school seniors and their parents, the Shin Humanitarian Award, and new System-led initiatives as appropriate. Lead the Salute to Illinois Scholars (SIS) event for approximately 450 high school seniors and their guests. Coordinate the acquisition of student names through College Board, ACT, or other sources and the invitation process including serving as the main point of contact with printing and mailing services.
- Manage the on-line RSVP and registration process and maintain online event database. Organize data collection, materials distribution, and report preparation for event planning committee meetings held throughout the year and maintain historical information. Answer questions as they arise during registration period from high school counselors, students, parents, college fair participants, UI System university's staff, and partner institutions' staffs.
- Supervise one office support staff member and a student intern. Also manage one or more temporary workers during program events, plus provide guidance to staff on day of event tasks.
- Miscellaneous - Attend public or internal university events to perform functions such as advance preparation of meeting rooms and greeting and registering attendees; approve office supplies orders and expense reports as needed using I-Buy and Chrome River systems; other duties as assigned, including being familiar with the duties of the other office staff to assist as necessary.
Minimum Qualifications1. Bachelor's degree.
2. A total of one (1) year (12 months) in education, training, and/or work experience in higher education admissions and/or with academic advising programs. (Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
Preferred QualificationsPreferred:
1. Three years' experience working in higher education, particularly in Illinois and at the University of Illinois in admissions and academic advising programs.
2. Experience in project management and event planning in higher education
Knowledge, Skills and Abilities
- 1. Knowledge of the system of higher education in Illinois and the state's transfer arena
- 2. Proficient oral and written communication skills, including the ability to work with staff and clients to communicate the purpose and status of various projects and components and demonstrated experience in presentation to diverse audiences up to executive level.
- 3. Excellent organizational skills and ability to multi-task to meet deadlines.
- 4. Ability to develop goals and plans to prioritize, organize, and accomplish work.
- 5. Ability to work effectively with staff, the public, and outside constituency groups.
- 6. Social Media skills.
- 7. Proficiency with Microsoft Office Suite. Familiarity and proficiency with Web maintenance software (e.g., Dreamweaver, InDesign) and with database tools (e.g., Microsoft Access), a plus.
- 8. Ability to maintain multiple databases, e.g. for recruitment events and scholarships. Able to share data with appropriate university entities while maintaining confidentiality (e.g. U of I Box, PEAR).
- 9. Knowledge and adherence to data confidentiality and security guidelines, including FERPA.
- 10. Knowledge of: Banner with specific proficiency in student and financial data; Departmental Awards Web system (DAWS); University of Illinois Web Tools; UIF Online.
- 11. Occasional overnight travel is required.
Appointment Information This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after 11/8/2024. System Office jobs such as this one are not eligible for the Referral Program. Salary range is $65,000-$70,000, salary is competitive and commensurate with qualifications and experience, while also considering internal equity. It is not typical for an individual to be offered a salary at or near the top of the full range for a position.
